Tasks – List view

View and manage all your upcoming reservations, check-ins and check-outs.

On the top of the screen, you can switch interface view to the “grid view“.

Here you can see the main agenda of the tasks for this weeks, or scroll to the next few weeks.

You can scroll through the days by clicking on the requested date:

Check-In

In this section, you will see all the scheduled check-in for the selected date.

It’s divided into columns:

  1. The “V” box – This box will be green if a user marks a check-in as done, and grey if not
  2. Rental – The name of the rental will be in orange color if there are a checkout and a new check in on the same day for the same rental
  3. Guest name – the guest name for this check-in. If you click on it you can see her/his details
  4. Greeter – logo with the initials name of the Greeter in charge for this check-in
  5. Pre Check-in – in this column you will see the date of the last sent pre-check-in email, or “Done” if the pre check-in process is done, or “Partially” if the pre check-in process is partially done
  6. ETA – this the hour when your guest will do his check in
  7. Last check out – the date and the time that the last guest left the rental
  8. Next check in – the date and the time for the next check in this rental
  9.  Source – Where the booking was done
  10. Credit card & Passport Scans – the logos of the credit card and the passport will be green if the guest scanned his credit card and/or his passport. Important: For security reasons, we don’t save personal guests documentation in the server. You will receive this documentation by mail.
  11. Chat, send pre check-in email & Release codes – by clicking on the Chat logo, you can start to chat with your guest. On the second logo, you can manually send your guest a pre check-in email, asking him to complete the pre check-in wizard.
    On the third logo, you will see a blue locker to send the guests the arrival information and the rentals codes.

When clicking on “Export”, you can export all the tasks and your guests’ information in an excel file, which can be useful also for marketing purposes.

You can choose rather view all tasks or filter tasks by subject:

When clicking on “New Reservation”, a new popup window will appear, where you need to add the reservation details. After you enter the following details, click on “Add”.

Check-Out

In this section, you will see all the scheduled check out of the selected date.

The check-out columns are the following:

  1. The “V” box – This box will be green if a user has marked a check out as done, and grey if not
  2. Rental– The name of the rental will be in orange color if there are a checkout and a new check in on the same day
  3. Guest name – the guest name for this check out
  4. Assign– logo with the initials name of the person in charge of this checkout
  5. Pre Check-Out – in this column you will see the date of the last sent pre-check-out email, or “Done” if the pre-check-out process is done, or “Partially” if the pre-check-out process is partially done
  6. Check-Out/Estimated – the time that the guest is supposed to leave the rental
  7. Staff – the grades that the guest gave the staff
  8. Cleanliness – the grades that the guest gave about the cleanliness of the rental
  9. Rental– the grades that the guest gave about the rental in general
  10. ‘House’ and ‘Quote’ symbols – the house logo will appear if the guest left a comment about the property. The second one will appear if the guest left a comment in the review
  11. Chat & Pre check-out email– by clicking the Chat logo, you can start to chat with your guest. On the second logo, you can send manually a pre-check-out email.  If your guest already filled the pre-check-out, the logo will be transparent.

Clean

In this section, you will see all the scheduled cleaning of the selected date.

The columns will show:

  1. The “V” box – This box will be green if the cleaning is done, and grey if not
  2. Rental – The name of the rental will be in orange color if the cleaning is done, in grey if it is not
  3. Assign – logo with the initials name of the person in charge of this cleaning
  4. Time – the date and the time to start this cleaning
  5. Note for cleaner – here you can add notes for your cleaner

General tasks

In this section, you will see all the general tasks to do on the selected date.

You have 6 columns:

  1. The “V” box – This box will be green if the task is done, and grey if not
  2. Rental – The name of the rental
  3. Assign – logo with the initials name of the person in charge of this task
  4. Name – the description of the task to do
  5. Due – the date and the time to finish this task

When clicking on “New task”, a new popup window will appear, where you need to add the task details. After you enter the following details, click on “Add”.

 

Date range

At the top of the page, you can select to show a specific date range for the different tasks to do (check in, check out, cleaning, general tasks).

 

Assign Task

The name of the person who is responsible for being in charge of the task.
The details of the assignee for check-in tasks will be shown as the greeter to the guests in the personal area mini-site.
There is a possibility to create a default assigned per rental for each kind of a task.
